BALI VILLA ESCAPES PTY LTD TERMS AND CONDITIONS

 

Bali Villa Escapes Pty Ltd   ( BVE) General Terms and conditions are below. Villa Properties are unique, and Guests should refer to the specific  Terms and conditions in their Booking Confirmation Letter applicable to their individual Villa.

PAYMENT TERMS

The  50% Deposit Payment must be received within 3 business days of receipt of the Confirmation Letter to secure the booking.

Payment of the deposit constitutes confirmation of the Reservation and acceptance of the Booking Terms and conditions.

Guests must instruct their bank to include all relevant fees and charges in the amount transferred to ensure that BVE receives the full payment.  Any shortfall due to bank fees or charges must be rectified before check-in.

50% Balance Payment is to be paid 40 days before the check-in date (Low Season & High Season) and  70 days before the check-in date (Peak Season).

Where the booking is made less than  40 days before the check-in date (Low Season & High Season) or less than 70 days before the check-in date (Peak Season), the deposit AND the balance payment must be paid together within 48 hours of making the reservation (Peak Season: 20 December – 8 January; High Season: Easter Week & 16 June – 15 September; and Low Season: All other dates).

Where the 50% Balance Payment is not received by the due date above, the Reservation will be cancelled and the Deposit Payment forfeited.

CREDIT CARD PAYMENTS AND EXCHANGE RATE FLUCTUATIONS

Please note BVE is required by Indonesian law to issue invoices in Indonesian Rupiah (IDR).  The invoice guests receive from BVE is based on the median IDR exchange rate and includes a 3% credit card fee. Guests should be aware that when paying by credit card, a guest’s credit card provider buys IDR at rates that may be subject to significant fluctuation and they may also add significant fees for the transaction.  BVE cannot control these variables. On some occasions currency fluctuations may favour the purchaser, however, on other occasions, there may be a significant increase from the amount of the invoice issued by BVE to the amount billed to the guest by the credit card provider.

Please also be aware that in assessing exchange rates, guests should not calculate conversions based on exchange rate sites that quote seller rates that are always significantly higher than the buyer rates which will be charged by a guest’s credit card provider. For an accurate assessment, guests should contact their credit card provider directly.

Check-in Time:  03.00 pm

Check-out Time:12.00 pm

Early Check-In and Late Check-Out

Please feel free to enquire about the availability of early check-in or late Check-out. Early check-in may be available at a partial daily rate, subject to other bookings.  Late check-out may be available at a half daily rate up to 6:00 pm and at a full daily rate after 6:00 pm, subject to other bookings.

AGE OF GUESTS BOOKING VILLA

Bookings cannot be made by, or on behalf of persons under the age of 20 years without prior agreement with BVE. If such bookings are made they may be cancelled by BVE according to the Cancellation Terms below.

NUMBER AND AGE OF VILLA GUESTS

It is the guest’s responsibility to ensure the number of adults and children staying in the villa is correctly stated in the confirmation letter.  The number of guests must not exceed the number stated in the confirmation letter without prior approval from BVE. Infants (<4yo) and children (<12yo) may stay in their parent’s room free of charge; however, not all bedrooms can accommodate extra beds, and no bedrooms can accommodate more than one (1) extra bed and one (1) cot.

GUESTS TO PROVIDE PASSPORT AT CHECK-IN

Under Indonesian law, all guests must make their passports available to be copied at check-in.

USE OF THE POOL

Guests wishing to use the pool before 7.00 a.m. or after 10.30 p.m. must take care to avoid disturbing other holidaymakers and local residents.

A responsible adult should supervise children using the pool at all times. Please note that villa staff often cannot swim and should not be relied upon to supervise children in the pool. Pool fences can be supplied on request at a daily rate.

Glass items are not permitted in the pool area as broken glass will require draining the pool.

The pools are professionally maintained, and guests should not interfere with the pool pump or other equipment or chemicals. On rare occasions, it may be necessary for BVE to attend and apply additional pool chemicals, which may temporarily prevent the use of the pool.

SMOKING

Smoking is not permitted in the villa’s indoor areas. Ashtrays are provided for guests to smoke in the villa’s outdoor areas.

PETS

Pets are generally not allowed but may be accepted by prior agreement with BVE.

EVENTS AND PARTIES

The total number of guests and invitees to the villa must not exceed 1.5 times the number of guests listed in the confirmation letter without prior approval from BVE.

Not all Villas can host Events. Where an Event is planned (person attending exceeds 1.5 times the number of listed guests) please check with BVE whether an Event is possible and if so, BVE’s ‘Event Guidelines’ will apply and are available on request.

CONDUCT OF VILLA GUESTS

The conduct of guests of the villa should not interfere with the enjoyment of other holidaymakers or local residents. Music or other noise should be kept to a minimum between 10.30 pm and 7.00 am, especially in the outdoor areas.

Where Police or Banjar (local community) attendance is required guests will be responsible to pay any penalties.

BVE reserves the right to terminate the booking where there is a serious breach of the Terms & Conditions, immediately and without refund.

DAMAGE, BREAKAGE OR LOSS

Guests are responsible for looking after the villa property and its inventory and will be responsible to pay for any damage, breakages or losses.

BVE reserves the right to terminate the booking where there is serious and deliberate damage to the villa property or its inventory, immediately and without refund.

BVE ACCESS

BVE reserves the right to access the premises to conduct urgent repairs or to respond to complaints about the conduct of guests of the villa. BVE will attempt to contact the guests prior to such attendances and arrange a convenient time where possible.

URGENT REPAIRS

Where the urgent repairs are likely to significantly interfere with the guest’s quiet enjoyment of the villa, BVE will arrange a similar or better alternative villa in consultation with the villa guests.

VILLA BECOMES UNAVAILABLE

Should the booked Villa become unavailable due to natural disaster, damage, flooding, change of government regulations, ownership or renovation, BVE will relocate the guests to a villa of a similar standard and rate.

TRAVEL INSURANCE

BVE strongly recommends guests take out comprehensive travel insurance at the time of booking to cover injury and illness (including repatriation), theft or loss of baggage and personal items, travel restrictions, and cancellation of flights and/or accommodation.

BVE will provide guests with every assistance if they wish to make an insurance claim but will not act as a guest’s travel insurer.

LIABILITY

BVE does not accept liability for:

  • Accidents or personal injury occur at the villa property. Guests must take reasonable care for their own safety.
  • Any loss or damage to guest’s property occurring at the villa property.
  • Any loss, including rental time, due to flight delays, cancellations, immigration, health, medical, or any other travel problems departing for, travelling to, or arriving in Bali.
  • A guest’s interpretation of the photographs and descriptions of villas on the BVE website and provided by BVE staff, which are provided in good faith and intended to accurately describe and depict the subject villa.
  • Any sudden failure of villa equipment, including pool equipment, will take action to rectify any such failure as soon as possible after notification by the guest.
  • The booked Villa is becoming unavailable due to natural disasters, damage, flooding, change of government regulations, ownership or renovation (however, please see above).
  • Annoyances beyond BVE’s control include blackouts, construction work, noisy events, neighbours or animals. However, when notified, BVE will use their best endeavours to remedy or mitigate such annoyances.

COMPLIANCE WITH TRAVEL AND ENTRY REQUIREMENTS

It is the guest’s sole responsibility to ensure that they check and can comply with any border, immigration, airline, medical or other requirements to depart their country of origin and for their entry and stay in Indonesia.

Foreigners entering Indonesia must have a valid passport with an expiration date not less than 6 months later than their planned departure date or entry will not be permitted.
